S1 · Workshop planning brief

Event coordinator

Invented for this course. Not a real organisation, study, quotation or public announcement. Cite the source ID within this exercise only.

[1] A learning festival expects ninety participants for a practical design workshop. The current plan is one ninety-minute session beginning at 14:00. The large room holds ninety seated participants, but safe worktables reduce its practical capacity to sixty. A second room can support thirty more participants, provided a second facilitator is available. The booking request for that room has not yet been confirmed.

[2] The event programme advertised the topic and date but described the time as provisional. The coordinator may therefore change the slot, but must communicate a confirmed time by Friday. The main aim is that each registered participant completes a practical task, not merely that ninety people attend a talk. Splitting the group into two sessions is acceptable if both groups receive the same core learning opportunity.

[3] There are three facilitators, but one is available only after 15:00. Equipment setup requires forty-five uninterrupted minutes and a short check before participants enter. Volunteers can distribute materials, but they cannot replace a qualified facilitator. The meeting must produce an agreed schedule, named action owners and a clear fallback if the second room remains unavailable.

[1] Twelve participants have requested step-free access, and several travel with a group whose return transport leaves at 17:00. These details are operational constraints, not reasons to make assumptions about anyone's ability to participate. Both proposed rooms have step-free entrances. However, the smaller room's accessible route is longer and needs clear directions. The activity must finish with enough time for participants to pack and reach the departure point.

[2] The access coordinator prefers the earlier slot because it leaves a margin before transport. This is a preference based on a concern, not an absolute rule that every later plan must be rejected. A later session finishing at 16:30 could work if the route, packing arrangements and departure support are checked. A session ending at 16:55 would not provide an adequate margin.

[3] The coordinator asks the group to consult participants about practical arrangements without publishing individual support requests. A decision record should say that the access plan was checked, not list private personal information. Where a participant's need is uncertain, the action should be a targeted clarification rather than a confident statement made on their behalf.

S3 · Facilitation and setup note

Workshop lead

[1] The workshop lead can run the large room with one other facilitator from 14:00, but cannot safely supervise ninety hands-on participants there. A third facilitator joins at 15:00 and could lead a smaller parallel group if the additional room is confirmed and already prepared. The lead's preferred plan is a 15:00 start in both rooms, finishing at 16:30. Its main vulnerability is that equipment must be ready before the late-arriving facilitator joins.

[2] A fallback is to offer a sixty-minute introductory session to all ninety participants followed by small-group practical work on another date. That would meet a different learning objective, so it should not be described as equivalent to the advertised workshop without participant agreement. Another fallback is two shorter rotations, but the lead has not yet established that each rotation gives enough time for the core task.

[3] The lead asks the meeting to distinguish an attractive schedule from a feasible one. An agreement is not complete until room confirmation, setup responsibility and accessible departure arrangements have owners and deadlines. If any required condition fails, the team must use a named fallback and explain its changed learning opportunity honestly.
