The editor says the work has disappeared. The operator says nothing is lost. At first these sound like directly conflicting factual claims. The log gives us a more precise account: version twelve was saved, the revised introduction was checked in that stored version, and the public preview still showed version eleven. The stored revision and the displayed preview are different states. Explaining that distinction is necessary, but it does not by itself solve the editor's meeting problem.

Start by acknowledging the practical effect. The editor needs a reliable version for an eleven o'clock review, not merely reassurance that some file exists. Then state what has been checked and what has not. The build was requested, but its final status is unknown. A cache explanation is possible, not confirmed. A mediator who says it is only a cache issue may reduce tension briefly while creating a new unsupported expectation.

There are two possible next actions in the dossier. The operator can supply a read-only copy of the verified saved version, and can check the build status. The meeting organiser must decide whether the copy is suitable for the review. Publication approval remains a separate dependency. Neither the operator nor the mediator should imply that a successful preview refresh authorises publication.

Notice the different meanings of reliable. For the editor it concerns what colleagues can inspect in the meeting. For the operator it may concern a verified stored revision. Ask each participant to explain the action they need to take. This makes the terminology accountable to a purpose instead of turning the exchange into a contest over who used a word correctly.

For your two briefings, one audience understands the technical workflow and one does not. Preserve the same verified facts and uncertainty in both. A manuscript-and-proof analogy may help the second audience, but explain that it is not a diagnosis of the software. In the final understanding check, ask each participant to state what is verified, what is uncertain and who owns the next check. Record one assumption you corrected rather than presenting mediation as a smooth speech that encountered no resistance.

[1] At 10:02 the editor saved version twelve of a draft in the project repository. At 10:04 the repository's version list showed version twelve and a successful save receipt. At 10:05 the public preview still displayed version eleven. The operator checked the repository copy at 10:08 and confirmed that the revised introduction was present. These checks establish that the revised text existed in the saved version at that time. They do not establish that the public preview had updated.

[2] The preview service normally refreshes after an approved build. A build was requested at 10:06 but its final status had not been checked when the log was written. A cached preview is one possible explanation for the older display. A failed or unfinished build is another. No confirmed cause is recorded. The phrase only a cache issue therefore goes beyond the evidence available in this exercise.

[3] The editor has a review meeting at 11:00 and needs a reliable way to show the revised draft. The operations team can provide a read-only copy of the verified repository version, but the meeting organiser must decide whether that format is acceptable. The operator cannot authorise publication or promise that the preview will update before the meeting.

[4] A separate publication approval is still pending. Even a successful preview refresh would not remove that dependency. The mediator must preserve the distinction between saved work, a viewable preview and authorised publication. No participant should delete a version, repeat a risky operation or change access settings merely to make the visible status appear simpler.

[1] Editor: I spent the morning revising the introduction, and the preview still shows the old text. When I received the message nothing is lost, it sounded as if the team thought the problem did not matter. I was not only asking whether a file existed. I needed something reliable for the review meeting, and I did not know which version other people would see.

[2] Operations colleague: I checked the saved version and found the revised text. I wanted to stop the editor from rewriting work that was already present. My message was meant to distinguish storage from display, not to say the meeting problem was solved. I should have said what I checked and what remained unchecked. I cannot promise the refresh time before I have the build status.

[3] Editor: A read-only copy might work for the meeting if the organiser agrees, but I need to know that it contains the latest verified version. I also want a clear update rather than having to ask repeatedly whether anything has changed.

[4] Operations colleague: I can supply the verified copy and report the build status after checking it. I will avoid calling the issue a cache problem until the evidence supports that diagnosis. If the build has failed or the result remains inconsistent, the case needs the person responsible for the preview service. I do not want the mediator to promise a fix on my behalf.

[1] Record five separate categories: verified facts, reported positions, expressed effects or emotions, assumptions and unresolved questions. The mediator should not infer a private motive from a participant's tone. Ask participants to define what reliable or finished means for their immediate purpose. A person may be talking about a meeting-ready copy while another is talking about a successful save.

[2] The next-step record must identify an action, an owner, a check and a reporting point. It should not invent a completion time that the responsible person has not agreed. If a technical dependency remains unresolved, identify the escalation boundary. The mediator helps the participants coordinate; the role does not confer authority to approve publication or alter the system.

[3] After the simulation, each participant states what they believe is verified, what remains uncertain and what they will do next. Compare those accounts rather than relying on a general question such as Is everyone happy? Agreement about the next action can be useful even if frustration remains. The learner's reflection should identify one assumption corrected during the discussion and one moment when the chosen explanation had to be adapted.
